The transfer van has its Vehicle Tag fitted. Approved stations are pre-set to those on the airport route. Management doesn't need to be involved.
Driver stops to fuel on the route
The station is on the approved list. The attendant scans the van's vehicle tag using the Vetrol POS device. Volume is within the vehicle's daily cap.
Fueling proceeds and is settled immediately
Transaction is recorded, settled, and visible in the dashboard. Property manager sees it when they check in at 7am β no call needed.
Driver attempts a second fill later
If the second fill would exceed the daily cap, the POS device blocks it. The driver cannot over-fuel regardless of circumstances.
