Component 1
Platform Subscription
A fixed fee per vehicle, per year. This covers access to the full Vetrol platform — the dashboard, rules engine, reporting, Vehicle Tags, and POS devices at your stations.
The subscription is tied to the number of vehicles enrolled. Add more vehicles and the subscription adjusts accordingly. The per-vehicle rate is agreed upfront based on your fleet size and setup.
How it scales
Larger fleets typically benefit from lower per-vehicle rates. We quote based on your actual vehicle count — so you're never paying for capacity you don't use.
Component 2
Transaction Fee (optional)
Depending on your agreement, a transaction fee may apply each time a vehicle fuels. This can be structured in one of two ways:
Percentage of transaction value
A small percentage of the total fuel cost per transaction. Scales naturally with fuel prices and volume.
Fixed amount per litre (or unit)
A flat fee per litre or fuel unit dispensed. Predictable regardless of market fuel price fluctuations.
Not all agreements include a transaction fee — this depends on your setup and the station network you operate through.

How is the per-vehicle rate determined?
The per-vehicle annual rate is agreed during your quote based on your fleet size, the number of fueling stations, and your operational setup. Larger fleets typically benefit from lower per-vehicle rates.
Is the transaction fee always charged?
Not necessarily. Whether a transaction fee applies — and how it's structured — depends on your agreement. Some clients pay subscription only; others have a transaction component. We'll be clear about this upfront.
Which transaction fee structure is better for us — percentage or per-litre?
It depends on your fuel volumes and how exposed you want to be to fuel price changes. A percentage fee moves with fuel prices; a fixed per-litre fee is predictable regardless of price. We can model both for your operation during the quote.
Is there a setup or onboarding fee?
Onboarding is included in the subscription. This covers fleet registration, vehicle tagging, POS device installation, and rules configuration. There's no separate setup charge.
What happens if my fleet grows during the year?
You can add vehicles at any time. The additional vehicles are billed on a prorated basis for the remainder of the subscription period. Your account manager will handle the adjustment — no downtime, no disruption.
Are there charges for API access or webhooks?
These features may carry an additional charge depending on your deal. API access (for custom integrations, BI tools, or third-party systems) and webhook event streams are negotiated case by case — some agreements include them, others add a fee. Either way, any add-on cost will be clearly stated in your proposal before you sign.
