Platform

Everything you need.
Nothing you don't.

Vetrol is built around one principle: your fleet should never lose a single liter to fraud, waste, or guesswork. Here's how we make that happen.

Vehicle Tag Authorization Rules Engine Real-Time Settlement Reporting & Exports EBM Tax Integration REST API
Authorization

Vehicle Tag Authorization via POS

Each vehicle carries a unique encrypted Vehicle Tag. At the station, the attendant scans it on the Vetrol POS device — authorization is checked against your rules in milliseconds.

  • Encrypted, unclonable vehicle identity
  • Attendant-operated Vetrol POS device
  • Millisecond authorization response
Rules Engine

Per-Vehicle Rules & Controls

Set granular fuel policies at the vehicle level. Station whitelists, volume caps, time windows, and day restrictions — all enforced automatically on the POS.

  • Station whitelist per vehicle
  • Daily & per-fill volume limits
  • Time windows & day restrictions
Settlement

Instant Real-Time Settlement

The moment a fueling event completes, it's settled. Fleet managers, finance teams, and station operators all see the same transaction simultaneously — no end-of-month surprises.

  • Settlement on transaction close
  • Shared live ledger for all parties
  • No manual reconciliation ever
Dashboard

Fleet Dashboard & Insights

A single pane of glass for your entire fleet. Track spend per vehicle, spot anomalies, review denied transactions, and monitor consumption trends in real time.

  • Vehicle-level cost breakdowns
  • Anomaly & fraud alerts
  • Denied attempt visibility
Reporting

Automated Reporting & Exports

Schedule daily, weekly, or monthly fuel reports and have them delivered automatically. Export any dataset as CSV for your accounting or compliance team.

  • Scheduled auto-delivery

  • Invoice generated and delivered instantly
  • Zero manual paperwork for tax compliance

Authorization

The attendant is the checkpoint. The POS is the enforcer.

Vetrol doesn't integrate with fuel pumps. Instead, our POS device sits at the station with the attendant — the natural point of control. When a vehicle arrives, the attendant scans the Vehicle Tag. If it passes your rules, fueling proceeds. If not, it doesn't. Simple, reliable, tamper-resistant.

  • No pump hardware modifications required
  • Works at any partner station with a Vetrol POS device
  • Attendant sees clear approve / deny on the device screen
  • Every scan — approved or denied — is logged instantly

Rules Engine

Granular policies, enforced without exception.

Every vehicle in your fleet can have its own distinct fuel policy. A delivery truck gets different rules from an executive car. A field vehicle is limited to specific stations near its route. Rules are set in your dashboard and enforced on the POS device in real time — no overrides, no exceptions, no loopholes.

Rules update instantly. Add a new restriction and it takes effect at the next scan, no device update required.

Reporting

Every liter tracked. Every franc accounted for.

Vetrol's reporting suite gives you complete visibility — from individual vehicle fill history to fleet-wide cost trends. All data is export-ready and audit-proof.

Vehicle-Level Logs

Full fill history per vehicle — volume, cost, station, time, and attendant. Nothing missing.

Fleet Cost Trends

Daily, weekly, and monthly fuel spend charted across your entire fleet. Spot waste fast.

Denied Attempt Reports

Every blocked transaction is logged with full context. Patterns become visible quickly.

Scheduled Delivery

Set it once. Reports land in your inbox automatically — daily, weekly, or monthly.

Tax Compliance

EBM invoices — instant, automatic, compliant.

Every business fueling in Rwanda is required to collect EBM invoices from stations. In practice, this means chasing paper receipts, waiting days for station staff to process them, and hoping the numbers match your own records when it's time to file.

Vetrol eliminates that entirely. The moment a fueling transaction closes on our POS device, a fully compliant EBM invoice is generated and submitted directly to RRA on your behalf — automatically, without any manual action from your team or the station attendant.

  • Invoice generated at the moment of fueling — not days later
  • Submitted directly to RRA via the EBM integration
  • Invoice delivered to your dashboard and finance team instantly
  • No more chasing stations for missing or incorrect receipts
  • Full invoice archive available for audit at any time
